Please read these terms carefully before subscribing. By creating an account or using the ClinicBot service, you agree to be bound by these Terms of Service. If you do not agree, do not use the service.
ClinicBot ("ClinicBot", "we", "us", "our") operates the platform available at clinicbot-ai.com, which provides white-label AI-powered patient communication tools for healthcare clinics. For questions about these terms, contact us at info@clinicbot-ai.com.
ClinicBot provides:
The AI responses are generated by Anthropic's Claude AI model. While we configure the system to stay on-topic and reflect your clinic's information, AI responses are generated automatically and we cannot guarantee they will always be accurate or complete.
Important: ClinicBot is an information and communication tool only. It is not a medical device and does not provide medical advice, diagnosis, or treatment recommendations. Clinics are solely responsible for ensuring patients receive appropriate professional medical care.

You are responsible for all activity that occurs under your account. Notify us immediately at info@clinicbot-ai.com if you suspect unauthorised access.
New subscribers receive a 14-day free trial. No payment is taken during the trial period. At the end of the trial, your chosen subscription plan will begin and your payment method will be charged automatically unless you cancel before the trial ends.
We reserve the right to end or modify trial terms at any time for new sign-ups, but will not change trial terms for an active trial already in progress.
Subscriptions are billed monthly in advance. Prices are:
All prices are exclusive of VAT. VAT may be added at the applicable rate depending on your location. Payments are processed securely by Stripe. We do not store your card details.
Subscriptions renew automatically each month. You will receive an email receipt after each payment. If a payment fails, we will attempt to retry and notify you. Continued failure to pay may result in suspension of your account.
You may cancel your subscription at any time from your Stripe billing portal or by emailing info@clinicbot-ai.com. Cancellation takes effect at the end of the current billing period — you will retain access until then.
We do not offer refunds for partial months. Exceptions may be made at our sole discretion in cases of technical failure on our part that prevented use of the service.

You are responsible for:
By using ClinicBot, you agree to our Privacy Policy, which forms part of these terms. Where ClinicBot processes patient data on your behalf (conversations, lead captures), you act as the data controller and ClinicBot acts as a data processor. You are responsible for having a valid legal basis for collecting patient data via the widget on your site.
If required under GDPR, we are willing to enter into a Data Processing Agreement (DPA). Contact us to request one.
ClinicBot retains all intellectual property rights in the platform, widget code, and underlying technology. Your clinic retains ownership of the data and content you provide (FAQs, training information, patient conversations).
You grant ClinicBot a limited licence to use your provided content solely to operate and improve the service for your account. We do not use your clinic's patient conversation data to train AI models.
We aim for 99.9% uptime but do not guarantee uninterrupted availability. Scheduled maintenance will be communicated where possible. We reserve the right to modify, suspend, or discontinue any part of the service with reasonable notice (at least 30 days for material changes that affect your subscription).
We may update pricing with 30 days' notice. You may cancel before the new price takes effect if you do not agree.
To the maximum extent permitted by applicable law:
Nothing in these terms excludes liability for fraud, death, or personal injury caused by our negligence, as required by Spanish law.
You agree to indemnify and hold ClinicBot harmless from any claims, damages, or costs (including legal fees) arising from your use of the service, your violation of these terms, or any claim that your use of the service harmed a third party.
Either party may terminate the subscription at any time. We may suspend or terminate your account immediately and without notice if we believe you are in material breach of these terms, or if continued operation poses a legal or security risk.
Upon termination, your access to the service will end. We will retain your data for the periods set out in our Privacy Policy and then delete it, unless legal obligations require otherwise.
These terms are governed by the laws of Spain. Any disputes that cannot be resolved informally shall be subject to the exclusive jurisdiction of the courts of Alicante, Spain.

We may update these terms from time to time. We will notify you of material changes by email or by posting a notice on the website at least 14 days before the changes take effect. Continued use of the service after that date constitutes acceptance of the new terms.
